Submitted Time

Time Activities is the central review surface for every time entry in your business unit — one grid where drafts, submitted hours, and approvals from all crews and days come together. It's where office staff move crew time through the submit → approve pipeline that ultimately feeds Payroll.


Where to find Time Activities

Open Tasks from the left sidebar, then go to Time Activities (at /dashboard/time-activities/submitted).

What you see on this screen

Every row is one time entry — a person's hours on a task for a day, typed as Labor, Travel To, or Travel From, with a status of Draft, Submitted, Approved, or Rejected.

Above the grid, three filters narrow the view:

  • Date Range — the days you're reviewing (e.g. last week's pay period).
  • Employee — one or more people.
  • Status — e.g. just Submitted when you're doing an approval pass.

Use Column Chooser to tailor the columns and Reset Filters to clear everything.


Adding and editing entries

Click Add Time Entry to drop a new row pinned to the top of the grid — pick the employee, task, date, type, and hours right in the cells, then save the row (or cancel it). Existing entries edit the same way: a single click in a cell starts editing. Entries that shouldn't exist can be archived from the right-click menu.


The approval pipeline

Time flows through a simple lifecycle:

  1. Draft — recorded but not yet turned in. Right-click → Submit moves it forward.
  2. Submitted — waiting for review. Right-click → Approve accepts it; a reviewer can also send an entry back to Draft (Revert to Draft) for correction.
  3. Approved — locked in and ready for payroll to pick up.

Bulk actions

Select two or more rows (checkboxes) and a bulk bar appears with Submit Selected and Approve Selected — the fastest way to clear a week of crew time in a couple of clicks.


How this relates to Tasks → Review

The Review workspace and this page are two views of the same time:

  • Review is organized by task and day — the foreman's-eye view for checking a crew's day as a unit.
  • Time Activities is the flat, filterable grid across all entries — the payroll clerk's view for sweeping everything Submitted to Approved before a run.

Approving in either place has the same effect. Once approved, the hours are what the Payroll Time tile attaches to a run — unapproved time is exactly what the payroll pre-checks flag.


Permissions

Viewing, creating, updating, archiving, submitting, and approving time are each separately permission-controlled, so crews can log and submit their own time while approval stays with supervisors or office staff. See Roles & Permissions.


Tips & best practices

  • Filter to the pay period first. Set the date range to the run's period, status to Submitted, and work the list to zero before payroll day.
  • Revert, don't approve-and-fix. If hours look wrong, send the entry back to Draft with the correction request — approved time is what payroll pays.
  • Use the type field honestly. Travel To / Travel From entries can be paid and costed differently from Labor — misfiling them skews job cost.

Common questions

Why can't payroll see someone's hours? They're probably still Draft or Submitted. Only approved time is attached to a payroll run.

Can I approve a whole crew at once? Yes — filter to the crew and date range, select the rows, and click Approve Selected.

Where does this time come from? Crews clocking in and out on the Schedule board and mobile, entries logged on tasks, and rows added right here with Add Time Entry.


  • Review — the per-task, per-day crew time workspace.
  • Tasks — the work the time is logged against.
  • Payroll — where approved time becomes pay.
