Saved Grid Views

Saved Views let you capture the way you've arranged a data grid — filters, sorting, and the full column layout — under a name, and bring it back with one click. Set up the Projects grid to show exactly what your Monday review needs, save it as "Monday review", and it's a single click every Monday after that. A view starts out private to you, and if you have permission to share you can also publish it to everyone in your business unit or to specific roles and people. Every major grid in GO supports them the same way.


What a view captures

  • Filters — every active column filter.

  • Sorting — including multi-column sorts.

  • Column layout — order, widths, hidden columns, pinned columns, and row grouping.

One heads-up on wording: the save dialog labels its input "Filter Name" and the toolbar button says "Save Filter" — but a saved view stores your column layout and sorting too, not just filters. What a view does not capture: your scroll position, selected rows, or the quick-search box.


Where to find Saved Views

On any full-page grid, look at the vertical strip on the grid's right edge — alongside Columns and Filters there's a Saved Views tab. Click it to slide out the panel: your views, a checkmark on the one currently applied, and a counter showing how many of your 25 personal views per grid you've used.

When views have been shared with you, the panel splits into up to three groups:

  • My Views — views you saved, whether private or shared out by you.

  • Shared with me — views someone else shared with you or with a role you hold.

  • Everyone — views published to the whole business unit.

Views carry a small badge so you can tell at a glance how they're shared: an Everyone badge on business-unit-wide views, and a Shared badge on targeted ones — hover the Shared badge and it names the roles and people it's shared with. A filled star marks your default view.

There's a shortcut, too: when your filters differ from the view you have applied, the filter bar above the grid shows a Save Filter button that opens the same save dialog. If that button isn't there, it means the grid already matches the applied view — there's nothing new to save.


Saving and using views

  1. Arrange the grid — filter, sort, reorder, resize, hide, pin, group.

  2. Click Save Filter on the filter bar, or right-click inside the Saved Views panel → Save new view.

  3. Name it (up to 100 characters — names must be unique per grid).

  4. If you have sharing permission, pick who can use it under Who can use this view (see below). Otherwise the view is private to you.

  5. Click Save View. The new view is applied immediately.

Choose who can use a view

The Who can use this view question appears in the Save New View dialog only if your role grants you permission to share saved views. If you don't see it, every view you save is private — which is the right default for most people. The three choices are:

  • Only me — private to you. This is the default.

  • Everyone in this business unit — anyone working in this business unit sees it in their Everyone group.

  • Specific roles and people — pick any combination of roles and named people. Pick at least one, or GO won't let you save.

For a view shared with specific roles and people, you can change the audience later: right-click the view → Manage sharing…, adjust the roles and people, then click Save Sharing.

Switch views

Click any view's name in the panel. It applies instantly and the checkmark moves.

Update a view

Arrange the grid the new way, then right-click the view → Update with current view. Its stored setup is replaced with what's on screen.

Rename a view

Right-click the view → Rename…, type the new name, and click Rename. Everything the view stores stays exactly as it was — only the name changes.

Set a default view

Right-click a view → Set as default and GO applies it for you automatically the next time the page loads, so the grid opens ready to work. The default view is marked with a filled star in the panel. To go back to a plain grid on load, right-click the starred view → Clear default.

Delete a view

Right-click the view → Delete. A confirmation dialog asks you to confirm by name; if the view is shared, it warns you that deleting removes it for everyone it was shared with. Once you confirm, there's no undo.

Reset the grid

Right-click in the panel → Reset grid. Filters clear, sorting clears, and columns return to the page's defaults. Your saved views are untouched — reset only affects what's on screen.


Good to know

  • Views belong to the grid they were saved on. A view saved on the Projects grid never appears on Employees or Payroll — each page keeps its own set.

  • You can only change views you're allowed to change. Your own views are always yours to update, rename, share, or delete. A view someone else shared with you is there to use — the options to change it only appear if your role allows managing other people's shared views.

  • Deleting the applied view doesn't reset the grid. The checkmark clears, but the layout it applied stays on screen until you click Reset grid.

  • GO also remembers your last grid state automatically — separate from saved views. Leave a page and come back, and the grid restores how you left it, per browser. If a grid seems "stuck" in some arrangement you don't remember choosing, there are two likely causes: a default view applying itself on load (clear the star to stop it), or the automatic memory (click Reset grid to clear it).

  • Projects and Tasks keep a second layer of filters that views don't touch. The toolbar filters that sit above the grid — the Projects search box and Jobs/Indirect/Assets bucket, and the Task Planner's search, status visibility, team, tag, and My Tasks filters — stay put as you move around the app, for the rest of your browser session. They are not stored in a saved view and are not cleared by Reset grid; clear them on the toolbar itself, or they clear when the browser session ends. If a view looks like it's showing the wrong rows, check these first.

  • 25 personal views per grid is the cap. Only your private views count toward it — shared views don't. At the limit, GO tells you: "You can save up to 25 personal views. Share this view or delete one first."

  • A few embedded grids don't have the panel (compact grids without the right-edge strip, like some tab-level grids). Every full-page register — Projects, Tasks, Employees, Payroll, AR Invoices, GL, and the rest — supports it.
